Entry Rules

-:General Conditions Of Entry :-

The exhibition is open to anyone; however, an entry may be rejected when the sponsoring organization, or its agent, in its reasonable discretion, believes the entry does not conform to exhibition rules and conditions.

Entries must originate as photographs (image-captures of objects via light sensitivity) made by the entrant on photographic emulsion or acquired digitally. By virtue of submitting an entry, the entrant certifies the work as his own (aliases are not permitted). The entrant permits the sponsors to reproduce all or part of the entered material free of charge for publication and/or display in media related to the exhibition. This may include low resolution posting on a website. The exhibition assumes no liability for any misuse of copyright. An entry may be rejected when the sponsoring organization or its agent, in its reasonable discretion, believes the entry does not conform to exhibition rules and conditions. All acceptances will count for FIAP and FIP distinctions.

An entrant’s four images will be distributed throughout three rounds of judging for every section.

Each author can participate with not more than 4 (four) photos in each category (total 12 photos); each photo can be presented in one category only. One and the same photograph should be uploaded only as a color image or as a monochrome image.

All parts of the image have to be photographed by the author who is holding the copyright of all works submitted.

The Salon would be conducted under the approved rules of FIAP, GPU & FIP. See Categories Definitions below.

The right to reproduce entries in the catalogue will be assumed and copyright rules will be strictly followed.

Notification of results [Award & Acceptance List] will be sent via email and uploaded on our website. 

Unpaid entries will not be judged.

An entry may be rejected by the organizers if it does not conform to Salon rules and conditions.

An entrant’s images will not be presented to the judges consecutively. An entrant’s four images will be distributed throughout three rounds of judging in that section. Distribution of images shall be in the same round order as submitted by the entrant.

The decision of the Organizer will be final and without appeal.

The organizers will take great care of the entered work but decline all responsibility in case of loss, theft or deterioration during transit or during the exhibition and/or projection.

With the sole act of submitting his/her images or files to a salon under FIAP Patronage, the entrant accepts without exception and with no objection that the submitted images can be investigated by FIAP to establish if these obey to FIAP regulations and definitions even if the entrant is not a member of FIAP; that FIAP will use any means at its disposal for this undertaking; that any refusal to cooperate with FIAP or any refusal to submit the original files as captured by the camera, or failure to provide sufficient evidence, will be sanctioned by FIAP and that in case of sanctions following the non compliance with FIAP regulations, the name of the entrant will be released in any form useful to inform the breaches of the rules. It is recommended to leave the EXIF data in the submitted files intact in order to ease eventual investigations.

If at any time, it is determined in the reasonable discretion of the exhibition organizer or the judges before, during, or after the judging of an exhibition that an entrant has submitted entries where one or more images may fail to comply with these Conditions of Entry, including the stated definitions, the exhibition organizers reserve the right to delete the entry from the exhibition and void any or all acceptances or awards in connection with the exhibition. Fees may be forfeited or refunded in these circumstances. The entrant acknowledges that the decision of the exhibition organizers or the judges is final.

In order to ensure that images comply with the Conditions of Entry and definitions, the exhibition organizers may carry out reasonable measures to verify that:
a) The images are the original work of the entrant and
b) The images comply with the rules and definitions as set out in these Conditions of Entry.

By submitting his/her images to the Salon, the participant expressly agrees with the following text:“I hereby expressly agree to FIAP document 018/2017 « Conditions and regulations for FIAP Patronage » and FIAP document 017/2017 « Sanctions for breaching FIAP regulations and the red list ». I am particularly aware of chapter II « Regulations for International photographic events under FIAP patronage » of FIAP document 018/2017, dealing under Section II.2 and II.3 with the FIAP participation rules, the sanctions for breaching FIAP regulations and the red list.”

SUBMISSION of an entry signifies acceptance of all our conditions.

The Organizer decides which of the accepted images would be included in the Catalog and in the Exhibition.

When an entrant fills in the Entry Form to submit an entry the entrant will see a feature to affirm he or she has read these Conditions of Entry when he or she fills out the entry form. If the entrant does not so affirm the entry will not be submitted.

Names: No information about you or your country will be given to the selectors. No title or identification of the maker shall be visible anywhere on the face of an image entered in the exhibition. Any images contravening this rule will not be judged.

Judging: Your images will not be presented to the judges consecutively. Your four images will be distributed throughout three rounds of judging in that section. Distribution of images shall be in the same round order as submitted by you.

Image Specification: The print size including borders is (12 inches by 8 inches). Prints can be in either landscape or portrait format. Only unmounted prints are accepted, framed prints are not permitted. Print should be submitted in flat covers (not to be rolled)
[NOTE: Prints Larger than the specified sizes will not be judged].

Online Entry: At first Print Entries are made via the on-line entry form by clicking on the link ‘Entry Form’, titles of all your print entries are required to be entered thereat (only English alphabets can be entered as titles; titles can contain maximum 25 character). No special file naming is required. If the title of the image is ‘Tajmahal’, the file name may be ‘Tajmahal.jpg’

During the online entry you will need to upload a JPEG copy of your print entries (these copies are used when catalogs will be produced by us. Maximum image size for the copy (including any border) is 1024 pixels wide x 768 pixels high. Please note that portrait images should not be more than 768 pixels high with 300DPI. Image File size should not be more than 2MB.
Please generated your bar codes from the web site and print them. Cut the individual labels for each print and affix them at the back side of your print. Then complete your packing.
The title on the backs of the prints must match the titles on the Online Entry Form.
The entrant must sign the entry submittal form in the space provided to verify authorization for the exhibition to destroy the exhibitor’s prints in lieu of returning them otherwise the full entry fee shall apply if the exhibition does have separate fees for return of prints and non-return of prints.

Please ensure that you have attached the special labels to the back of each of your prints.
No prints will be returned. All prints will be destroyed.

Entry Fees:
Indian: 1st Section Rs.1100/- only, 2nd Section Rs.1800/- only and all 3 section Rs.2000/- only.
Foreigner: 1stsection $15[USD] only, 2nd Section $25[USD] only and all 3 section $28 [USD] only.

Notifications: Notification of results will be sent by email. You must ensure that you provide an active email address and that spam filters are set to accept emails from thebawsociety@gmail.com. Notifications will not be sent by post.

Catalogues & Award Posting: PDF catalog for download will be available on our website. The Organizer decides which of the accepted images would be included in the Catalog and in the Exhibition.
We will post all Awards by Register Indian Post. But we will not taken any responsibilities of stolen or damages during the transit.

Note: Entrants who indicate that their images may not be reproduced or used “will not be eligible for awards” or inclusion in audio-visuals of the exhibition “and could be subject to disqualification” by the exhibition sponsors.

The exhibition assumes no liability of any misuse of copyright. Images may be altered, either electronically or otherwise, by the maker. All parts of the image must have been photographed by the author who is holding the copyright of all works submitted. All final work must be on photographic film, or on electronic file, or on photographic or electronic print material, mounting excepted.

Words such as “Untitled” and “No Title” are not acceptable as part or all of an image’s title, nor are camera capture filenames.

An image may be entered in only one section where acceptances of that image in multiple sections would be eligible for the same star path.

An image is considered to be Monochrome only if it gives the impression of having no color (i.e. contains only shades of gray which can include pure black and pure white) OR it gives the impression of being a grayscale image that has been toned in one color across the entire image. (For example by Sepia, red, gold, etc.) A grayscale or multi-colored image modified or giving the impression of having been modified by partial toning, multi-toning or by the inclusion of spot coloring does not meet the definition of monochrome and shall be classified as a Color Work.

-:DEFINITIONS:-

Monochrome: A black and white work fitting from the very dark grey (black) to the very clear grey (white) is a monochrome work with the various shades of grey.
A black and white work toned entirely in a single color will remain a monochrome work able to stand in the black and white category; such a work can be reproduced in black and white in the catalogue of a salon under FIAP Patronage.
On the other hand, a black and white work modified by a partial toning or by the addition of one color becomes a color work (polychrome) to stand in the color category; such a work requires color reproduction in the catalogue of a salon under FIAP Patronage

Traditional: A traditional photograph maintains the original image content with minimal adjustments which should not alter the reality of the scene and should appear natural. Rearranging, replacing, adding to or removing any part of the original image except by cropping is strictly forbidden.

-:BREACH OF CONDITION OF ENTRIES AND/OR TERMS OF DEFINITIONS:-

Compliance – Generally: The organizers before, during or after the Salon, may decline any image or entry application at their discretion. An image or entry application may be declined if it does not conform to the published Conditions of Entry or Definitions (see below) or if that image, or entry application, or the applicant is deemed unsuitable. In order to ensure that images comply with the Conditions of Entry and Definitions, the organizers may carry out checks on images to make sure that:

The images are your original work. The images comply with the rules and definitions as set out in this document.

This may involve you being asked to provide the original image(s). In the event of any submitted image being found to contravene the published Conditions of Entry or Definitions, or not to be wholly your work, your complete entry may be declined. If you fail to provide a requested image file, you may, at the organizers’ discretion, be considered to be in contravention of the above rules and may also have your entry declined.

Specialist software has been developed and will be used for examining and checking images for manipulation.

-:FIAP Requirements:-

We are required, as a condition of the FIAP Patronage granted to this exhibition, to publish the following FIAP condition of entry:

The mention that by the sole act of submitting your images or files to a salon under FIAP Patronage, you accept without exception and with no objection the following terms:

• that the submitted images can be investigated by FIAP to establish if these obey to FIAP regulations and definitions even if you are not a member of FIAP,
• that FIAP will use any means at its disposal for this undertaking,
• that any refusal to cooperate with FIAP or any refusal to submit the original files as captured by the camera, or failure to provide sufficient evidence, will be sanctioned by FIAP,
• That in case of sanctions following the noncompliance with FIAP regulations, your name will be released in any form useful to inform the breaches of the rules.
